Regulated Matter

Regulated Matter is the workspace module for coordinating matters, discovery, review, redaction, and controlled release work across existing source owners.

Use it when a team needs to manage an investigation, regulatory inquiry, audit response, incident review, data-subject request, contract dispute, internal review, or similar matter that depends on governed documents and evidence.

What Regulated Matter Owns

  • Matter and case coordination records.
  • Discovery scopes with custodian, preservation, source-search, collection-plan, connector, DMS, Source Graph, or Content Extraction refs.
  • Legal hold and preservation refs owned by Retention.
  • Sensitivity, privilege, redaction, export-control, and AI-suggestion review batches.
  • Redacted rendition refs owned by Rendition.
  • Audit package and production package refs.
  • Chain-of-custody snapshots.
  • Release approval refs from Review Approval.
  • Audit export fields, Activity presentation, work descriptors, posture signals, permissions, and encrypted-row coverage.

Regulated Matter coordinates these records. It does not own DMS document truth, retention/legal-hold truth, privacy-processing truth, rendition jobs, audit package generation, external transfer sessions, AI provider runs, or public recipient delivery.

User Journey

  1. Open Governance > Regulated Matter.
  2. Create a matter with an owner or authority snapshot.
  3. Add discovery scopes that reference source-owner search, preservation, collection, and custody evidence.
  4. Add review batches for sensitivity, privilege, redaction, export-control, or AI-suggestion review.
  5. Link redacted rendition jobs or audit packages when those owners generate approved outputs.
  6. Create release packages with a chain-of-custody snapshot.
  7. Record review-approval evidence before marking a package approved or released.
  8. Use the contributed audit export fields, work descriptors, compliance posture signals, and Activity entries for follow-up and evidence.

Human Review Boundary

AI may suggest discovery terms, redaction candidates, sensitivity flags, summaries, or review narratives through source-owner refs. AI does not authorize redaction, disposal, release, external transfer, or final legal/regulatory decisions.

Approved or completed review batches require a human review snapshot. Approved or released packages require a Review Approval reference and a release approval snapshot.

Safe Snapshots

Regulated Matter snapshots are sanitized evidence summaries and refs. Do not paste raw source text, prompts, provider payloads, model responses, embeddings, vectors, storage keys, credentials, secrets, or protected document body text.

Cloud And On-Prem

Cloud and on-prem expose the same Regulated Matter behavior. Deployment differences are represented as capability states such as evidence-required, policy-blocked, deployment-dependent, reference-only, or not-configured.

Do Not Use This Module To Claim

  • Legal validity.
  • Public transfer, recipient, or regulator delivery.
  • Autonomous AI release approval.
  • Certified redaction accuracy.
  • Public /api/v1 regulated-matter APIs.
  • Ownership of DMS content, legal holds, privacy records, rendition output, or audit package generation.

Those outcomes require the owning module, source-owner evidence, or a separate promoted implementation spec.
